# Contracts and document templates

## Prepare a reservation document

1. Open the correct reservation or room card.
2. Choose the required contract, reservation confirmation, payment receipt or cancellation document.
3. Check the document language and template.
4. Review guest, property, date and amount fields in the preview.
5. If necessary, use Edit this document's text to change only the document you are about to create.
6. Issue the document and use the available download or print action.

For a payment receipt, verify the amount, currency, method and date. Issuing a document does not charge a bank account or payment terminal, record a financial payment automatically, or submit a KBS guest notification.

## Edit the business template

1. Open Document Templates with an authorized account.
2. Choose the document type and language.
3. Prepare the title and body.
4. Insert automatic information fields at the cursor instead of manually entering guest or property details in every document.
5. Format the content with headings, lists, tables and alignment tools.
6. Save and check the result in a new document preview.

Each language has its own title and body. Prepare missing language content rather than assuming another language will be substituted automatically.

## Do previous documents change?

An issued document stores the text and payment fields as they were when it was created. Updating a template does not change existing documents. Editing a single document in preview does not change the shared business template.

For report documents, follow Prepare document in [Using reports](/en/finance-and-reporting/reports.md).

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.interaktifotel.com/en/guests-and-documents/documents.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
